Issue Job WMS

The issue job transaction allows the one-step issuing of materials, direct from regular inventory to individual jobs.

Job Issue form

Once users select the "Issue Job" transaction from the main WMS menu, the job issue form will be displayed. Once the job number has been scanned or the users had entered the job number and hit the "Enter" key, the screen will be populated with the first item to issue. At this point users may proceed to issue the appropriate material using the fields and buttons indicated below.

Note: the part substitution rules (beginning in version 17.04) , available via the substitute tabs on Bills of Materials and Item Masters apply to WMS transactions as well. When a substitute is scanned the system will validate against the substitute rules to determine if the substitute is valid, and determine quantity required using conversions.

Field/Button

Description

Job Number

Scan or type. Omit dashes if typing. The "Pre-fill Job type" field on the User Group record can be used to determine the Job Types that will available for selection in this field.

  • If the security setting "WMS -- allow customized issuing to maintenance jobs" is checked, the user will be able to scan/enter any part and have it added to the order via a blank part number field. Otherwise, typical Part Number restrictions will be applied.

Part Number

Identifies the parts that will be issued. Once the job number is entered the system will present the first item to be issued. Drop down list available to issue a different item.

  • BOM Lines contain a "QC To Continue" field, that if populated with a QC Test, requires the test be performed before items on subsequent BOM lines will be displayed in this field.

Type

Determines where inventory will be issues. Options are "Job" and "Staging-Job"

  • Beginning in version 17.00.016, users will be choose/scan inventory that is in the "Staging" inventory segment, similar to the main Deacom application.
  • If the Type is set to "Staging-Job" and the Inventory Option "Enforce Sequential BOMs When Issuing to Staging" is disabled, the user may issue items to staging in any order.
  • The default setting can be set on the Job Category, Production > Options, or (beginning in version 17.04.006) at the User Group level. The system will use the following hierarchy to set the default in this field:
    • The "Issue Type" field on the User Group
    • Then the "Issue Type" field on Job Categories
    • The "Issue Type" field in Production > Options

Description

Item description. Populates when an item is selected.

Location Type

Scan appropriate location. Drop down list also available with all active location types for selected facility. Location Types are maintained at Inventory > Maintenance > Location Types within the main Deacom application.

Note that if a new location is selected, the system will attempt to choose lots from that location for that part in FIFO order. 

  • Note: Scanning a location encoded with a GS1-128 barcode will count as sufficient lot confirmation if the item is not lot controlled.

System Lot

Displays the system lot for the item to be issued. If the item is not lot controlled, the word "System" will be displayed. If the item is lot controlled and the "Suggest Lots" flag is checked in Inventory Options, the system will display the FIFO lot for the selected item. If necessary, users can select an alternative lot by clicking the "Lots" button.

Master Lot

Option to issue item to a master lot. The master lot concept is used in situations where miscellaneous quantities and containers of items are to be grouped together for example on a pallet in order to allow for easier storage and to eliminate the need for multiple moving transactions within the system. Note that when issuing master lots to a job, the system will display a grid allowing the user to confirm Master Lot contents before issuing. 

Notes:

  • Users now have the ability to issue inventory that is currently contained in a master lot directly to a job without having to de-issue the material from the master lot. For example, if scanning a lot label that contains a master lot, the WMS application will display the master lot chooser form, allowing users to issue material from the master lot directly to the job. In addition, in the main application, users will have the ability to issue to a job and master lots all at once via the "To Master Lot" searchbox on the Issue/Reserve Inventory form. A business case example for this necessity would be situations where every single job will not be pre-weighed in a single session. In this situation, if something is short, and workers begin making the Master Lot anyway, they will need to be able to add to it later when the shortage is resolved.
  • If "Backflush Catch Weights on WMS" is checked, when a Master Lot label is scanned and possesses all lots of the same item with equivalent catch weights, the quantity entered on the form is treated as the quantity of lots to use. When the action is processed, the system backflushes lots out of the Master Lot in FEFO order.
  • This field is enabled (beginning in version 17.04.006). This allows inventory to be issued and for Master Lot numbers to be manually entered or scanned with a 3of9 barcode without requiring a label lot with a master lot and AI Identifier.

User Lot

Displays the user lot for the item to be issued. If the item is not lot controlled, the word "System" will be displayed. If the item is lot controlled and the "Suggest Lots" flag is checked in Inventory Options, the system will display the FIFO lot for the selected item. If necessary, users can select an alternative lot by clicking the "Lots" button

Unit

Item stock unit of measure. Populates when an item is selected.

  • Users with the "WMS -- convert from unit when issuing" security set to Yes can select another unit of measure in this field. This will cause the system to convert the quantities in the "Lot Quantity" and "Issuing" fields to that unit of measure. Useful for converting quantities on the fly when issuing parts in units other than the stock unit of measure.
  • If the Part Number selected has a "Container Unit", the Container Unit will be defaulted in this field.

Lot Quantity

Displays the total on hand quantity across all lots with the quantity required indicated in brackets, unless suggesting a lot for a lot controlled item.

Issuing

Actual quantity that will be issued. Users can adjust as needed. The system will suggest the quantity based on the job/bill of material requirements. Users will need to place the cursor in this field and hit the "Enter" key to verify the quantity and proceed to the next item for issuing. If a user attempts to stage more, the system will display a prompt asking if you wish to continue. Only users with the "Inventory - Exceed Over Issue Qty % Limit" security setting marked as yes may continue.

Notes:

  • The system will automatically convert the quantity in this field (beginning in version 17.04.003) to the stock unit of measure for the substitute part. Specifically, the system applies the substitute factor (su_factor) and then converts to the requirement to the stock unit of the of the substitute part. Supports scenarios where companies need to stock substitutes in different units of measure than the original part. For catch weight items the system will use the value in the item unit weight (pr_unitwgt) in conversions of unit type.
  • If the User Lot field indicates "System", users do not need to pick a lot using the "Lots" button but may do so if desired. If users are allowing the system to pick the lot, clicking in the "Issuing" field and hitting the "Enter" key will verify to the system the quantity to issue and that the system will select an appropriate lot. If however, the User Lot field indicates "Lot Required", users will need to click the "Lots" button to select an appropriate lot. Once all items have been issued, users may click the "Save" button to display the "Issue Parameters" form where job label may be printed and new locations, if desired, specified.
  • Note that the default amount is determined via the "Default Issue Quantity" selection in Production Options, or beginning in version 16.07.058, the "Default Issue Quantity" on the Facility record first, prior to evaluating the Production Options field.
  • When scanning GS1-128 barcodes that contain the item, lot and quantity, and quantity is greater then what needs to be issued, the system shows a message "You are issuing more than is needed. Do you wish to continue". If the user clicks "No", the lot information is not cleared but the quantity field gets the focus and is reset to 0, allowing the user to set the quantity manually.
  • The checkbox, "Prompt when Over Issuing" has been added to the general tab of the facility record. If checked, users will always be prompted with a yes/no prompt to confirm that they are over issuing/staging material on jobs in this facility. This flag is checked by default. Un checking the flag is useful in situations where customers will always over issue, such as when issuing full pallet quantities.
  • The "Edit BOM Line" form, via Inventory > Bills Of Material, contains a "Sequential" check box. If checked, this field tells the system that items are to be issued and staged to jobs in the order they are sequenced on the BOM revision. Note that the first line item on the BOM can not be marked sequential. If users attempt to issue to a BOM line that is marked sequential without first issuing to any BOM lines before this one, the system will display a prompt indicating the previous part needs to be issued/staged first.
  • If the default issue quantity is set to zero and the user scans a lot label with just the part number and lot, the issuing field will be focused, allowing the user to enter/scan the quantity.
  • The "Production" tab on the Facility record contains an "Incremental Issuing" field. This field allows incremental issuing of inventory for the selected Facility in the WMS application. Options are Both, Issue, None, and Staging. Incremental issuing was adding for customers that need the ability to track and report lots as they are issued incrementally in Deacom and not just the total "rolled up" amounts or issued materials/lots. For example, if a job requires 170 lb of sugar, and sugar is handled in 50 lb bags, they would stage three bags and 20 lb of loose sugar in some container.  For some customers, seeing the sugar listed as 170 lb on the job would be fine, some customers however, may have process controls that demand they track the exact containers and increments and thus would want 4 lines of sugar on the job: for 50, 50, 50, and 20 lb respectively.
  • In Production Options and on the Item Master General 2 tab, companies have the option to specify an under and over issue quantity % limit.

Serial

Displays the serial number for the scanned serial/lot. If the serial/lot is not scanned, the system will display the serial number for the oldest lot in inventory. Users may select another serial/lot via the "Lots" button. Note that WMS application will ignore the serial number for parts that are not marked for serialization.

Attribute 1-3

Displays any attributes for the selected lot. The name of the attribute fields are maintained via System > Maintenance > Captions.

Catchweight

Displays the catch weight for the selected lot.

Lots

Click to display the "Find" form. This form will be display all non-expired on hand lots for the selected part. Once a lot has been selected users may click the "Details" button to see additional information as such as catch weight, serial number, density, and expiration dates and attributes for the selected lot. At this point the user may click the "Back" button to return to the list of available lots or click the "Select" button to complete the process. Once a lot has been selected, the "Find" form will be closed and the user will be returned to the "Job Issue" form to continue with the issuing and selection process. 

Notes:

  • The sort order of the lots displayed on the "Find" form is determined by the "Sort Lot Chooser By" field in Inventory Options.
  • Users that have the security setting "Inventory -- override shelf life" will be able to see and issue expired lots when issuing. Additional information on this option is available in the 14.9 release notes section.
  • In situations where no results match the filter, the lot chooser screen will open offering the user the ability to get more lots.
  • The "Lot Chooser Select" field in Inventory Options. The field determines if system will automatically select the lot on the "WMS Lots Chooser" form if only one lot is available for the selected part. Options are Automatic and Manual. Automatic is the default value. If set to Manual, the user will be required to select the lot in the "WMS Lot Chooser" form even if there is only one record. Business Case - When issuing to jobs or reserving to sales orders in the WMS application, companies may wish to have the user verify the lot that will be chosen even if there is only one.
  • When issuing to jobs via the WMS > Issue Job transaction, the "Lots Chooser" form will open when two lots with the same part/user lot/system lot number, but different locations, exist as long as the "Show Lot Chooser" pick list in Inventory Options is not set to "None".
  • Inventory lots in Containers can be issued to jobs. Additional information is available via the Utilizing Containers page.
  • Beginning in version 16.07, lots can be exclude for shipment to certain Customers. Additional information is available via the Excluding lots for production use and shipment for specific customers help section.
  • Beginning in version 17.00.016, users will be choose/scan inventory that is in the "Staging" inventory segment, similar to the main Deacom application.

Save

Issues the selected lots and displays the "Issue Parameters" form. If any lots have been skipped, repeat the process when ready to issue them. The "Save" button should be clicked after all items have been issued and not each time a quantity has been entered in the "Issuing" field. 

  • Note: If all the requirements have not been issued, the system will present a prompt asking you to verify if you wish to continue. If a user selects "Yes", the system will then display the "Issue Parameters" form.

Undo

Removes immediately previous lot from issue list.

Exit

Cancels the issuing process and exits to the main WMS menu. Lots scanned previously will not be issued.

Issue Parameters form

The issue parameters form is displayed once users click the "Save" button on the "Job Issue" form. The table below details the fields available to this form.

Print Label

Prints lot label once changes have been saved.

  • Notes:
    • If the print label box is checked, then the user will be presented with the printer selection form when completing the transaction. The printer selection form contains options to select the number of copies to print, the printer where the labels will be printed and the remember settings field. The remember settings field contains a drop down box with three options: Line, Order and Never. Line sets the functionality of remembering the print settings just for the selected line. Order will remember your print settings during the whole order, and Never will not retain any print settings.
    • The ability to have this box checked by default is controlled by the "Print Label By Default" flag in Production Options.
    • The "Remember Settings" flag also works in conjunction with the "Incremental Issue" option via Inventory > Maintenance > Facilities.

Retain Location

If checked, indicates that the inventory will be issued, not physically moved. The "New Location Type" and "New Location" fields will not be available for modification if this flag is checked. The ability to have this flag checked by default is driven by the “Retain Location On Issue / Reserve Form” flag in Inventory Options.

New Location Type

A drop down list is available to select the new location type when issuing materials.

Save

Completes the issue process. The system will present a confirmation message indicating that the items have been successfully issued to the selected job number.

Exit

Returns to the job issuing form.
